Job Description

As an entry-level position, the Event/Marketing Coordinator is responsible for assisting in event rentals, marketing and outreach strategies, memberships and annual fundraisers. This position will work closely and collaboratively with the Event Manager and the Community Engagement Manager to promote a unified image and public awareness of all the preserve’s offerings and our mission. The Event/Marketing Coordinator will report to the Community Engagement Manager.

The responsibilities of the Event/Marketing Coordinator include the following:

  • Create rental lease agreements and accompanying documents, input client information, send invoices, and receive payments; monitor a timely return of signed rental agreements and payment.
  • Partner with the Event Team and serve as the main point of contact during selected events with thorough knowledge of all necessary details for vendors and guests.
  • Deliver exceptional customer service and actively discover opportunities to create memorable experiences for each guest of the preserve.
  • Assist in the development of a comprehensive and strategic annual fundraising plan with the Community Engagement Manager.
  • Assist in the formation of new and ongoing relationships with financial supporters of the preserve, with emphasis on securing financial support from individuals, corporations, and foundations.
  • Research grant opportunities and follow through with grant writing and reporting.
  • Demonstrate eagerness to create new fundraising initiatives and events and collaborate with the team for success.
  • Regularly collaborate with and brainstorm marketing improvement processes with the Community Engagement Manager.
  • Report fundraising and marketing plans and outcomes with the Community Engagement Manager to the Executive Director.
  • Assist in the design of robust social media campaigns to highlight event rentals, education programs and fundraisers.
  • Possess a strong willingness and desire to try new ideas and learn.
  • Create and foster a positive work atmosphere and supportive culture with all team members.
  • Sincere commitment to act in the best interest of the preserve and our mission.
  • Maintain office duties such as answering phones and assisting guests with requests.
  • Ability to work an irregular schedule to ensure proper coordination of scheduled events and fundraisers.
  • Perform other duties and responsibilities as assigned.

Qualifications

  • 2 - 3 years’ experience in events/development/marketing
  • excellent analytical, organizational, interpersonal, written and verbal communication skills
  • experience in marketing, creating social media content and maintaining a website
  • ability to multi-task in a high energy, fast paced environment
  • knowledge of Microsoft Office Suite
  • task oriented and self-motivated
  • experience working in a not-for-profit environment
  • a passion for the outdoors and the ability to effectively communicate the preserve’s mission
  • flexible schedule including evenings and weekends

Language Skills

Ability to read, analyze and interpret data and documents. Ability to respond effectively to the most sensitive inquiries or complaints. Ability to write a business letter/email. Comfortable and competent in presenting to and speaking in front of groups and individuals.

Reasoning Ability

Ability to define problems, collect data, establish facts and draw valid conclusions.

Other Skills & Abilities

Position requires demonstrated applied skills in word processing and computer software including, but not limited to, Microsoft Office Suite. Ability to work without direct supervision in an office environment is required. Ability to hold a valid Wisconsin Driver’s License and possess reliable transportation that can be utilized for work purposes.

Work Environment

The noise level in the work environment will vary from low/moderate to potentially high during certain events. This is a non-smoking work environment. Employee will occasionally be required to perform work outside of the office environment to include exposure to weather and temperature extremes. May occasionally be required to walk on slippery or uneven surfaces.
